We are looking for Finance and Administration Officer with strong organizational skills, a keen curiosity, a proactive approach to solving problems, and excellent oral and written communication. Previous experiences with start-ups and remote teams are a plus.

Responsibilities

The Finance and Administration Officer will offer financial support for AHADI operations including processing all income and expenditure documents, inputting transactions into the MS Dynamics accounting system, as well as supporting AHADI’s business operations and administrative needs.

The job holder will report to the Business Operations Manager.

Finance responsibilities include:

  • Responsible for maintaining the cashbook
  • Daily booking of expenses into the cashbook
  • Responsible for petty cash administration/reporting
  • Ensure that financial information is processed in accordance with AHADI’s finance procedures and processes
  • Process bank reconciliations and cash flow forecasts in a timely basis to facilitate efficient cash flow management
  • Responsible for processing of payments, staff advances and reimbursements
  • Ensure payments are in accordance with approved budgets
  • Preparation of all the project payments while ensuring they are properly supported and appropriately approved
  • Ensure that documented authorization limits are followed as stipulated in the authorization matrices
  • Facilitate preparation and submission of tax returns including PAYE, withholding tax and utility bills are made on time
  • Track all expenditures made against available budgets and flag up any potential over/under spending
  • Review purchase requests to eliminate any overspending of donor budgets
  • Ensure the advances withdrawn are duly approved and are within the advance holders authorized limits
  • Preparation of variance reports on spending plan verses actual expenditure on a monthly basis
  • Assist the Business Operations Manager in preparation of project reports, budget as well as the monthly budget follow up
  • Undertake periodic project audits and report on areas of possible improvement
  • Responsible for efficient archiving of all finance documents and that location of documents is clearly documented and archived for easy retrieval
  • Support the audit process and perform other relevant duties as and when assigned

Administration responsibilities include:

  • Source for flight and accommodation quotations and, in consultation with the traveler, facilitate reservations accordingly and in line with AHADI’s procurement guidelines
  • Manage Executive Director’s and Senior Management Team’s calendar
  • Arrange ground transport where necessary and/or as guided
  • Source for quotations from pre-qualified suppliers and negotiate for best prices and value
  • Raise purchase orders for approval and issue the same to vendors /suppliers
  • Receive and verify the goods supplied
  • Ensure timely insurance of AHADI’s assets inline with the asset management policy
  • Update and maintain AHADI’s assets register, tagging of fixed assets and assets verification
  • Management of project contracts and service level agreements ensuring they are renewed and amended in time
  • Other duties as assigned

Minimum Qualifications

  • Bachelor’s degree in business administration, commerce, finance, or accounting
  • At least 1 year of experience working in the field of business administration or finance
  • Hands-on experience with computerized accounting
  • Kenyan citizen or with residency permit in Kenya
  • Able to work from AHADI’s Nairobi office

Preferred Qualifications

  • Certified Public Accountant of Kenya Part II

Minimum Competences

  • Proficiency in written and oral English
  • Excellent computer skills, including computerized accounting and Microsoft Excel
  • Diplomatic, patient, and flexible
  • Proactive, attentive to details, with good organizational skills
  • Ability to maintain confidentiality
  • Ability to work in a team
